How to create and sign a tenancy agreement

Proper Agent helps you create, send, and sign tenancy agreements digitally — then activate the tenancy in your portfolio.

Step 1: Start from a tenancy or application

From Tenancies, click New tenancy or convert an accepted application. Select the property, tenant, rent amount, and start date.

Step 2: Generate the agreement

Proper Agent generates a tenancy agreement based on the details you entered. Review the document and make any adjustments before sending.

Step 3: Send for signature

Click Sign and send to email the agreement to the tenant for e-signature. You will also be prompted to sign as the landlord.

Step 4: Track signing status

The tenancy page shows whether the agreement is pending, partially signed, or fully executed. Both parties must sign before you can activate.

Step 5: Activate the tenancy

Once fully signed, click Activate tenancy. This sets the tenancy to active, updates the property letting status, and starts compliance tracking (e.g. deposit protection deadline).

Step 6: Send prescribed information

After activation, send the tenant prescribed information about their deposit scheme as required by NI law. Proper Agent can generate this document for you.

Tips

  • Record deposit protection within 28 days of receiving the deposit — see our guide on recording deposit protection.
  • Keep the signed agreement in Documents — it is stored automatically after signing.
  • You can create tenancies without an application window if you already have a tenant lined up.
