How to record deposit protection
Northern Ireland law requires you to protect tenant deposits in an approved scheme within 28 days. Proper Agent tracks this deadline and helps you send prescribed information.
Step 1: Record the deposit
When you activate a tenancy, enter the deposit amount. Proper Agent starts a 28-day countdown to the protection deadline.
Step 2: Protect the deposit
Register the deposit with an approved NI scheme (TDS NI, MyDeposits NI, or LPS NI). Note the scheme name and reference number.
Step 3: Update the record
In Proper Agent, open the tenancy and click Record deposit protection. Enter the scheme, reference number, and protection date.
Step 4: Send prescribed information
Proper Agent generates the prescribed information document required by NI law. Send it to the tenant and keep a copy in Documents.
Step 5: Monitor the deadline
If the 28-day deadline is approaching and protection is not recorded, Proper Agent flags it on your dashboard and in Compliance.
Tips
- Record protection as soon as you receive confirmation from the scheme — do not wait until day 28.
- Prescribed information must be sent within 28 days alongside protecting the deposit.
