Tenancies
Tenant Referencing in Northern Ireland: A Landlord's Checklist
Referencing tenants before granting a tenancy reduces the risk of arrears, property damage, and difficult possession proceedings. This checklist covers what Northern Ireland landlords should check before approving an applicant.
Why reference tenants?
A thorough reference helps you confirm:
- The tenant can afford the rent
- They have a history of paying rent on time
- They are who they say they are
- There are no obvious red flags
Referencing is not a guarantee — but it significantly reduces risk compared to accepting the first applicant.
Affordability checks
A common rule of thumb is that rent should not exceed 30–35% of the tenant's gross monthly income. For a property at £750/month, look for income of at least £2,150–£2,500/month.
What to verify:
- Employment status and employer name
- Gross annual or monthly income
- Whether income is stable (permanent vs temporary contract)
Proper Agent lets applicants verify income through a secure bank connection, giving you affordability evidence alongside their application.
Employer references
Contact the employer to confirm:
- Job title and start date
- Employment status (permanent, fixed-term, probation)
- Gross salary (if the employer is willing to confirm)
Be wary of applicants who cannot provide an employer contact or whose stated income does not match the reference.
Previous landlord references
If the applicant has rented before, contact their previous landlord to ask:
- Did they pay rent on time?
- Did they look after the property?
- Were there any disputes or notice issues?
- Would you rent to them again?
Previous landlord references are particularly valuable for understanding tenant behaviour.
Right to rent and identity
While Northern Ireland does not have the same Right to Rent scheme as England, you should still verify identity:
- Photo ID (passport or driving licence)
- Proof of address
- Confirmation that names match across documents
Red flags to watch for
- Reluctance to provide references
- Income that does not support the rent level
- Gaps in rental history without explanation
- Previous landlord references that are vague or negative
- Multiple applications in a short period
